IT Service Provider
Self-check

Who owns this? A self-check for your IT

Go through each area of your IT, note who looks after it, and see which areas have no clear owner. The gaps come back as a plain list, in the order we would close them.

This page also works on paper. Print it, mark each area by hand, and start with any area marked "Nobody, or not sure", working from the top.

Everything stays on this page. Nothing you select or type is sent anywhere or saved. Close the tab and it is gone.

The areas are listed in priority order, with the ones that carry the most risk first. Add up to two areas of your own at the end.

  1. Admin accounts for Microsoft 365 and other key systems

Admin access controls everything else. If it sits with one person or an old personal login, so does the business.

  2. Staff sign-in and multi-factor authentication

Accounts without enforced MFA are a common way in, and insurers ask about it.

  3. Security alerts, including nights and weekends

    Attacks don't keep office hours.

  4. Backups, and checking they restore

A backup nobody has restored from is an assumption.

  5. Laptops and computers: set-up, encryption and updates

A lost laptop is an inconvenience if it is encrypted and managed, and a data problem if it isn't.

  6. New starters and leavers

Slow onboarding costs a new hire's first week. Slow offboarding leaves doors open.

  7. Microsoft and software licences, and renewal dates

Seats pile up as people come and go, and renewals arrive without warning.

  8. Internet, phone system and software suppliers

When the internet drops, someone needs the account number and the authority to call.

  9. Passwords, network details and documentation

If it lives in one person's head, it leaves when they do.

  10. Client and insurer security questionnaires

Bigger clients and insurers ask, and a guessed answer can come back to bite.

  11. IT planning and budget for the next 12 months

Without a plan, every laptop and renewal arrives as a surprise.

  12. Your own area 1
  13. Your own area 2
